Complex scheduling, resolved on the first call

Complex scheduling requests make up a large share of the calls into your contact center. Your agents search several systems while the patient waits. The rules that decide whether an appointment is valid are spread across those same systems. Calls run long, patients call back to finish what was started, and the appointment that does get booked is not always the right one.

SpinSci AI agents check every rule during the call, so the appointment that gets booked is the right one.

Two ways to resolve the same request

Voice AI takes the call. AI agents handle the request from start to finish. They ask your clinical qualification questions, check referral and authorization status, and search availability against every constraint that applies. The booking is written to your EHR during the call, and the patient is confirmed and enrolled in reminders. It works around the clock, at any call volume.

Contact Center AI works alongside your staff. AI agents run the same checks with your agent and surface the rules that govern the request. Your agent doesn't have to search for them. Prerequisites and multi-step appointments are flagged as the call goes on, so the set your agent books is complete and doesn't come back as rework.

Every request has to clear three sets of rules

  • Your decision logic: decision trees, smart questions, scheduling protocols, clinical questionnaires, and specialty-specific routing.
  • Scheduling constraints: provider preferences, visit type, resources, equipment and rooms, block schedules, age restrictions, and prerequisites.
  • Referral validation: whether a referral exists, its status and expiration, authorization, and PCP requirements.

Availability is checked last. Everything above decides which slots are eligible.

Specialty scheduling is never one appointment

One request can require several appointments booked in the right order. A consult leads to a procedure. A screening leads to a follow-up. SpinSci AI agents book linked appointments together and schedule prerequisites first. Once one appointment is booked, they prompt the agent to take the next required step with the patient.

Cardiology and an echo. A mammogram and an ultrasound. An oncology consult and an infusion. When only part of the set gets booked, the rest goes to a callback queue, the patient waits longer for care, and held capacity goes unused.

Built on Healthcare AI Fabric

Healthcare AI Fabric is a rules orchestration layer. It connects EHR workflows, payer requirements, referral rules, and departmental protocols so AI agents can validate and book scheduling requests in real time. It reads rules where they already live, including spreadsheets and PDFs. When a rule changes, it's updated in one place instead of rebuilt in a decision tree.

When data is missing, rules conflict, or clinical review is needed, the request goes to your staff with its context attached. Every check is recorded in an audit trail, and your staff can review and override any decision.

Results

  • 67%+ of eligible scheduling requests handled end to end, with no staff involved
  • Under 60 seconds average handle time
  • No hold time for the patient
